When you request a quotation or contact us, we collect information you provide, including:
Your name, business name, email address and telephone number.
The property address and type of premises.
The number of floors, approximate floor area and maximum occupancy.
The service you require and when the last fire risk assessment took place.
Information contained in your correspondence with us.
If you engage us, we also keep information needed to arrange and deliver the work, including relevant assessment records, reports, correspondence and invoices.
Please avoid including unnecessary personal information about occupants or other people in your quotation request.
We use your information to respond to enquiries, understand your requirements, prepare quotations, arrange and carry out agreed services, communicate with you and maintain appropriate business records.
Our lawful bases are:
Contract: where information is necessary to enter into or fulfil a contract with you.
Legitimate interests: where you contact us on behalf of a business or another organisation, and to administer our services, maintain relevant records and handle complaints or legal claims. Our interests are running the business responsibly and providing the services requested.
Legal obligation: where we must retain or disclose information to meet legal requirements, including applicable tax and accounting obligations.
If you do not provide information necessary to understand your requirements, we may be unable to provide a quotation or carry out the work.
We do not currently send marketing emails or use your information for automated decision-making or profiling.
We use business Google Workspace services, including Gmail, Google Drive and Google Forms, to collect, manage and store enquiries and customer records.
Google and its service providers process information to operate these services. Information may be processed outside the UK. Google’s data-processing terms provide for applicable international transfer arrangements, including adequacy arrangements or contractual safeguards where required. You can contact us for further information and read Google’s Cloud Data Processing Addendum.
We do not sell personal information or share it with other businesses for their marketing.
We may disclose relevant information where required by law or where necessary to establish, exercise or defend legal claims.
For enquiries and quotations that do not lead to work, we normally delete personal information within 12 months of the last substantive contact.
For completed work, we determine retention periods by considering the purpose of the record, applicable legal and accounting requirements, relevant insurance requirements and the need to handle complaints or legal claims.
Where information is needed for an ongoing complaint, dispute or legal obligation, we retain the relevant records until that need has ended.
We review retained information and delete or anonymise personal information when it is no longer needed.
Our website is hosted using Google Sites and our quotation form uses Google Forms.
Google may process technical information about your visit, such as your IP address, browser and device information, and may use cookies to deliver its services and measure usage. Further information is available in Google’s cookie information and Google’s Privacy Policy.
Depending on the circumstances, you have rights to:
Request a copy of your personal information.
Ask for inaccurate or incomplete information to be corrected.
Ask for information to be deleted.
Request restrictions on how information is used.
Object to processing based on legitimate interests.
Receive or transfer certain information in a portable format.
These rights are subject to applicable conditions and exceptions. If we rely on consent for any future processing, you can withdraw that consent at any time.
To make a request, contact hello@beaconfiresafety.co.uk. We normally respond within one month. If an extension is permitted and needed, we will explain why.
If you have concerns about how we use your information, please contact Charles Tack using the details above.
You also have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
